Job Summary:
The Rentals Invoicing Coordinator is responsible for managing and coordinating the rental of equipment for day-to-day operations. This role involves overseeing the inventory, ensuring timely delivery and return of rental equipment, maintaining accurate records, and providing excellent customer service to internal and external clients.

Key Responsibilities:
  • Invoicing/Accounting Management:
    • Maintain rental ticketing/invoicing between different systems
    • Round on any missing tickets from different customers
    • Ensure timely billing/payment by customers
    • Ensure accurate revenue is recorded monthly.
  • Order Coordination:
    • Process rental requests from clients and internal departments.
    • Track the status of rental equipment and manage return schedules.
  • Customer Service:
    • Address and resolve any issues or concerns related to rental equipment.
  • Administrative Duties:
    • Prepare and maintain rental agreements, invoices, and other necessary documentation.
    • Maintain detailed records of equipment usage, billing, and inventory.
    • Generate reports on rental activities and equipment utilization.
  • Collaboration:
    • Work closely with the operations and finance teams to ensure efficient and effective invoicing and collecting payment.
    • Work with suppliers and vendors to collect invoices in a timely manner and track costs.

Qualifications:
  • High school diploma or equivalent; Bachelor’s degree in a related field is preferred.
  • Minimum of 2-3 years of experience in equipment rental coordination, preferably in the oilfield industry.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and rental management software.
  • Knowledge of oilfield equipment and operations is highly desirable.
  • Ability to work in a fast-paced and demanding environment.

Working Conditions:
  • Office environment with regular visits to field locations.
  • May require overtime and on-call availability to meet operational demands.
